Building a Commercial Door Asset Register

Create a site-wide commercial door register with consistent opening identifiers, equipment records, service contacts, and links to each door’s maintenance history.

Give every opening a stable identifier

Choose a naming scheme that works for staff, contractors, and people who are new to the site. Include the building, level, or bay where needed. Avoid relying only on informal names such as “the back door” when several openings could fit that description. Put the identifier on the site plan and use it in service tickets.

Keep equipment and history connected

Record the door and operator as separate equipment fields under the same opening. Add model information only when supported by labels or documentation. Link the entry to manuals, inspection records, and service history rather than copying an entire log into the register. Mark unknown installation dates or specifications as unknown until they can be confirmed.

Assign ownership of updates

Name the person responsible for adding replacements, changed equipment, or retired openings. Keep access credentials outside the general register and restrict sensitive records appropriately. Review the register after a project is completed so the next service request identifies the current system. An organized inventory supports coordination; it does not certify equipment condition or replace professional inspection.
